For Whom? Calculation of the Grant Conditions and Application Application Form
   
 Outbound Study grant (OSG)

The University Executive Board (College van Bestuur) founded the Outbound Study grant (OSG) to stimulate graduate studies or research abroad.


For whom?
The OSG is for Leiden University Students who are participating in a two-year master’s programme or in a research master’s programme and whose programmes may or may not contain a compulsory period of study or research abroad. Outbound Study Grants for work placements can only be applied for if this is a compulsory part of the curriculum and if study points are awarded for this element. The Outbound Study Grant is open to all nationalities.

Which countries?
All countries outside the Netherlands.

General Conditions

  • The study/research/internship period abroad should be for a minimum of 4 weeks and a maximum of 12 months
  • The Executive Board of Leiden University has decided that students are expected to contribute € 600 per month themselves.
  • You are expected to apply for funding from at least 3 third-parties (such as scholarship funds) applicable to your situation.
  • 50% Of the external funding will be deducted from the Outbound Study Grant.
  • Failure to apply for a minimum of 3 third-party awards will result in a financial penalty. 50% of the total grant amount will be deducted.
  • A written report and the Outbound Study Grant report form should be submitted/sent in within one month after the study/internship/research period  has ended. The Outbound Study Grant report form will be included in the decision letter.

How Much?
The calculation of the Outbound Study Grant is based on the following:

  • A so-called country list (pdf) containing standardised amounts for travel costs per country and living costs per country/per month
  • Your own contribution of € 600 per month (standard amount as decided by the Executive Board of Leiden University)
  • Third-party funding of which 50% will be deducted from the Outbound Study Grant
  • For the calculation of the period abroad, the number of weeks will be counted and converted to months, whereby 1 month equals 4 weeks. For example: 25 weeks / 4 = 6.25 months

Amount Withheld/ outbound Study Grant Report form
An amount of € 100 will be withheld from the Outbound Study Grant, to be paid out after the report and the Outbound Study Grant report form have been received by Student and Educational Affairs.

Please note that failure to deliver either of these documents within a month after the grant period has ended means you will no longer be entitled to receive the € 100.

Application Procedure

Step 1
Complete and submit the online Outbound Study Grant application 2011/2012 / Outbound Study Grant application 2012/2013.

Print a copy for signatures prior to online submission.

Step 2
Sign the printed Outbound Study Grant application form and have it signed by your Faculty’s International Studies Coordinator. For Social and Behavioural Sciences (FSW) students this is the coordinator of your Institute.

Make a copy for your own records.

You are advised to send the online Outbound Study Grant application and the signed Outbound Study Grant scholarship application form 5 months before the start of your study/internship/research period abroad, to:

The application should be received by Student and Educational Affairs at the latest 8 weeks before the departure date. For those applications received less than 8 weeks prior to departure will result in a financial penalty. 50% of the total grant amount will be deducted.

Step 3
At least 6 weeks before departure Student and Educational Affairs should receive the copies of the official approval/refusal of any third-party funding.

Further procedure
Once all the required documents have been received, we will make our initial calculation. At least 4 weeks before departure you will be informed of the decision. The definitive calculation and award decision will be made after submission of your report, the Outbound Study Grant report form, and the decisions from any outstanding third-party scholarship application decisions.

Please note: Student and Educational Affairs of Leiden University is responsible for the administration of the Outbound Study Grant.

Applications that are not signed by Faculty’s International Studies Coordinator will not be processed. It is the responsibility of the student to ensure that the application form is complete.
Applications submitted for an academic year that differs from the year specified at the top of the Outbound Study Grant scholarship application form will not be reviewed.

Deadline
You are advised to submit the completed application for the grant 5 months before departure. 
The application should be received by Student and Educational Affairs at the latest 8 weeks before the departure date.
For those applications received less than 8 weeks prior to departure will result in a financial penalty. 50% of the total grant amount will be deducted.
At least 6 weeks before departure, the copies of decisions on your other study grant/fund applications should be in the possession of Student and Educational Affairs.

Dutch tax authorities
Leiden University is required to declare the scholarship you have been awarded to the Dutch tax authorities. Your scholarship is a single award intended for the sole purpose of funding your studies abroad, however it will be dispersed to you in two payments according to the regulations of the scholarship programme in question. The University cannot be held responsible for any consequences resulting from this tax declaration. You are advised to contact the Dutch tax authorities for more information on this matter.
