For whom?

The European Commission provides Erasmus grants via the Nuffic for students who follow part of their study, research and/or placement in a European country.

Bilateral exchange agreement
Leiden University has to have a bilateral exchange agreement with the university where you would like to study. Contact your faculty International Studies Coordinator, for Social and Behavioural Sciences (FSW) students this is the Departmental Coordinator, about your faculty’s or department’s exchange agreements.

For a placement visit an exchange agreement between the home institution and the host institution is not needed. This is also not necessary if a higher education institution is the receiving organisation.

Conditions for Erasmus Mobility study and placement

  • The study and/or placement period has to be between 1 June 2011 and 30 September 2012.
  • The study and/or placement is a fully recognised part of your diploma/degree.
  • The study and/or placement period lasts a minimum of three and a maximum of twelve months.
  • You have to be enrolled at Leiden University, and during your stay abroad you will pay the statutory tuition fee to Leiden University.
  • You can only once be awarded the Erasmus status for study and once for placement, both during your current study period in Leiden and during studies you may have followed previously.
  • The Erasmus grant cannot be used to cover costs that are already being financed with other European resources.
  • The application should be received by the Student and Educational Affairs at least two months before your departure.
  • If you are awarded a grant, you will receive a decision letter including a set of documents. You are required to complete and sign these documents and return them, before the deadline mentioned in the decision letter. If you are awarded a grant, a sum of € 50 will be retained, which will be paid to you once the required documents have been received by the Student and Educational Affairs at Leiden University.
  • A further condition for Erasmus study is that you are required to submit the transcript of records of your stay abroad.
  • If your foreign stay is cancelled, finishes earlier, is extended or if the Erasmus conditions are no longer met, you are obliged to inform the Student and Educational Affairs and your international coordinator in writing within 5 working days.
  • In case you have been awarded an Erasmus grant and you fail to go abroad for any reason, you are obliged to pay back the total Erasmus grant to Leiden University.
  • If you do not submit the required documents as mentioned in the decision letter, you are obliged to pay back the total Erasmus grant to Leiden University.
  • If the Erasmus period abroad was shorter than planned, you must pay back part of the Erasmus grant you received to Leiden University.
  • The date on the Statement of the Host Institution or host enterprise (a document which will be sent with the decision letter) is binding when calculating the final grant.
  • The Erasmus grants will be given out on a first comes, first served basis.
  • Students with a nationality from an Erasmus country who will spend the Erasmus period in their country of origin will be given the lowest priority. An additional motivation letter needs to be sent with your application form.

Additional conditions relating to the Erasmus study period

  • Bachelor students can only apply for an Erasmus mobility Study Grant once successfully completed their first year
  • If a trimester of the host institution takes 2.5 months in stead of three months an Erasmus grant can be applied for. Sent a document of proof with the application.

Additional conditions relating to the Erasmus placement period

Excluded are the following organisations:

  • A European institution that has its own (paid) placement programme.
  • Organisations that manage EU programmes.
  • National diplomatic representatives of the student in the host country (embassies, consulates, etc.)
  • Public institutions of the student’s country of origin (cultural institutions, schools, etc.).

The number of hours must be in line with the normal working week for staff in Europe (between 36 and 40 hours).

The placement must take place under the supervision of the host institution where the student will be studying.

Students who will receive a salary or an allowance of € 220 or more per month from the host enterprise will be placed on the waiting list. See paragraph "Placement mobility - Waiting list.

Consecutive periods at different locations / in different countries
Study mobility: This is only permitted in case of a single higher education institution that has different locations (possibly in different countries) and the study periods are part of the Learning Agreement.

Placement mobility: This is only permitted if the host organisation signing the Training Agreement takes responsibility for the full duration of the work placement period. This means that there has to be a link between the different host organisations (for example the head office with branches, possibly in different countries). A single Training Agreement will be signed. In any event, the whole mobility period should be at least three months.

Combination of Erasmus study and work placement
A combination of study and work placement is possible if the two activities take place in consecutive periods and the work placement takes place under the supervision of the host institution where the student will be studying.

How much?
The Erasmus grant for study and placements is € 220 per month for the Erasmus period 1 June 2011 – 30 September 2012.

A calculation will be made on a monthly basis and the remaining days will be averaged out: less than 14 days downwards and more than 14 days, upwards.

Please note that the days will be round off after the minimum period of three months.

Example:
On the Statement of the Host Institution the host institution has recorded: from 14 January 2010 to 28 April 2010. This will be calculated as follows: from 14 January to 14 February to 14 March to 14 April, is three months, plus 14 April to 28 April is 14 days, making a total of 4 months.

Study mobility - Zero-grant students
Zero-grant students are those who meet all the Erasmus conditions and who participate in Erasmus, without actually receiving an Erasmus grant. Zero-grant students receive Erasmus status without an Erasmus grant. For example, in a situation where the budget for an academic year has already been allocated.

All the rules that apply to Erasmus students with a grant (such as non-payment of tuition fees to the host institution) also apply to zero-grant students. All the documents that grant students are required to return (signed and completed) prior to or subsequent to the study period should also be completed and signed by the zero-grant students in order to be recognized as an Erasmus exchange student. If the Nuffic decides to make more resources available then the zero-grant students will receive a grant. This will be done on a first comes, first serves basis.

Placement mobility - Waiting list
If the budget of the Erasmus placement mobility Grant is exceeded, no claim can be made on the grant. When applying for a Placement grant and having met all the Erasmus conditions, your name will be added to a waiting list. If the Nuffic decides to make more resources available, then the students on the waiting list will receive a grant. This will be done on a first comes, first serves basis.

Erasmus Intensive Language Course (EILC)
The Erasmus Intensive Language Courses (EILCs) are intensive, preparatory language courses in the minor languages of the countries participating in the Erasmus programme. This covers all languages excluding Spanish, English, French and German. The aim is to be able to manage in the language taught in everyday situations. The EILCs last a maximum of six weeks and are always available at beginner’s level. More information: website of the European Commission

How to apply?

Please note: You should have the form signed by your faculty International Studies Coordinator, for Social and Behavioural Sciences (FSW) students this is the Departmental Coordinator. The Student and Educational Affairs of Leiden University is responsible for the administration of the Erasmus grants for study and placement 2011-2012.

Applications that are not signed by the coordinator will NOT be processed. It is the responsibility of the student to ensure that the application form is complete.

Application forms prior to the Erasmus grant year 2011-2012 will no longer be accepted.

Additional subsidy for students with a disability
If you have a disability and are eligible for an Erasmus scholarship you may also be eligible for an additional subsidy.

To request this additional subsidy please submit the following documents along with your Erasmus scholarship request:

  1. A description of the nature of your disability/personal situation and the extra facilities required as a result (for example housing, (study) guidance, transport, study or educational materials);
  2. A doctor's statement and an additional explanatory statement from your study coordinator;
  3. A detailed estimate of expenses required for the additional facilities mentioned above, with the exception of those covered by other sources of funding;
  4. A detailed overview of funding received from other sources, for example insurances or grants, with a description of the facilities covered by this funding (if applicable). An explanation should be given of why this funding is not available to you during your stay abroad.
  5. Correspondence demonstrating that the host institution is aware that you will come and is capable and willing to provide or arrange the extra facilities you require.

Report form
With the letter of confirmation you will also receive a number of documents that have to be submitted before or after your stay abroad. One of these is the report form that has to be submitted in digital form to: outbound@sea.leidenuniv.nl.

Dutch tax authorities
Leiden University is required to declare the scholarship you have been awarded to the Dutch tax authorities. Your scholarship is a single award intended for the sole purpose of funding your studies abroad, however it will be dispersed to you in two payments according to the regulations of the scholarship programme in question.
